What you'll be doing
We are looking for a proactive, detail-oriented Recruitment Coordinator to join our team. Reporting to the HR Manager, you will be responsible for coordinating recruitment efforts for multiple vacancies and working closely with departmental heads across the company. This role requires strong organisational skills, confidence in managing an Applicant Tracking System (we use Teamtailor), and the ability to advise on recruitment best practices. If you're someone who enjoys working in a fast-paced environment, has an eye for detail, and can balance multiple tasks while maintaining a positive attitude, this could be the role for you!
NOTE: You must be based in Northern Ireland within easy travel distance to our Belfast HQ. This is a hybrid working role that requires at least one day per week in the Belfast office to facilitate team collaboration. The requirement to attend the office more frequently will depend on work requirements so a flexible approach to this is essential.
Responsibilities:
Managing the Applicant Tracking System (Teamtailor): Become the internal Teamtailor expert - maintain and update job postings, ensure proper candidate flow and automations through the system, and provide training to department heads.
Job Description & Interview Kit Coordination: Work closely with departmental heads to gather and centralise job descriptions and create structured interview kits for each role.
Recruitment Best Practices: Advise hiring managers on best practices for recruitment, ensuring a consistent and high-quality process across all departments.
Liaising with External Recruiters: Coordinate the relationship with external recruitment agencies, ensuring they understand our needs and standards, and manage their involvement in the hiring process.
Referral Management: Track and manage employee referrals, ensuring proper follow-up and communication with referred candidates.
Offer Management: Prepare and send offer letters, contracts (in collaboration with department heads), and ensure all necessary paperwork is completed.
Onboarding Coordination: Plan and coordinate early onboarding activities, including right to work checks.
Recruitment Metrics & Reporting: Generate regular reports from the ATS to track key recruitment metrics (e.g., time-to-hire, candidate pipeline, diversity metrics) and present insights to HR and departmental heads.
Process Improvement: Continuously seek to improve recruitment processes and systems, ensuring efficiency, accuracy, and a positive candidate experience.
Documentation & Compliance: Maintain accurate records of recruitment activities and ensure all hiring practices comply with relevant employment laws, privacy/data protection legislation and company policies.
Ambassador for Culture: Promote and uphold the company’s culture and values, internally and externally including networking and social media presence.
What skills & experience you need
We’re looking for someone who is organised, efficient, approachable, adaptable, and able to maintain a positive attitude even when things get busy. Confidence and the ability to build strong relationships with both candidates and internal teams are key to success in this role.
Ideal Experience
2+ years experience in recruitment/talent acquisition ideally within a tech or fast-paced environment.
Experience using ATS platforms, preferably Teamtailor, or proven ability to quickly learn and adapt to new software.
Understanding of relevant employment laws, regulations and best practice, including candidate experience, interview techniques, and employer branding.
Experience in Onboarding - e.g. right to work checks, securing references
Familiarity with technical roles: Basic understanding of technical roles and skills, with the ability to grasp and communicate the requirements of tech positions.

Cloudsmith is based in Belfast, and we use our HQ regularly for activities like bi-weekly development review sessions and operations team in-office days. We also hold all-hands offsites in Belfast a few times per year, with guest speakers and team activities. On a day-to-day basis, most Cloudsmithers work remotely, so we really rely on our online collaboration tools! This role will require a minimum of 1 day per week in the office - flexibility around hybrid working is essential.
