About the Role / What you'll be doing
Cloudsmith is looking for a strong Business Operations Administrator with a strong work ethic and positive attitude to join our Operations team. We’re on the hunt for someone to assist the team with accelerating how we service company operations, projects and planning.
While Cloudsmith operates with a remote-first approach, the team associated with the Office of the CEO is based on-site a number of days each week. This role will act as the “owner” of our HQ space in Belfast city centre, the main contact for employees and facilities teams alike, so is primarily office based, with some flexibility.
This role will be a mover and shaker across our Operations function and the individual will gain huge insights into how the secret sauce is made! There are plenty of development opportunities with the role and you'll be a part of a close knit team with lots of support.
Responsibilities include:
The role of Business Operations Administrator will sit within our Office of the CEO which currently includes the CEO, Chief of Staff, HR, Finance and IT. We’re looking for someone who adds value across our entire organisation.
The role will report to and work closely with our Chief of Staff in sharing the load across many areas of the business and smooth running of the company and it’s hybrid office space.
Office Support
- Arranging logistics such as stationery orders, catering, shipments to and from HQ, or access to the building working alongside the building's facilities team.
- Maintain a high level of order and stock of business essentials in the HQ space.
- Assist staff and contractors with business travel arrangements, including flights, transportation, accommodation and often visas and other logistics.
- Maintain office correspondence, including handling snail mail and ensuring any relevant inbound mail is distributed to the relevant department.
- Assist in organisation of PR, events and staff socials; booking venues, catering, logistics.
- Ad hoc assistance with diary management and meeting/workshop preparation.
- Occasionally act as meet and greet liaison for guests joining the CEO or Senior team at Cloudsmith HQ, and maintain Visitors Record for audit purposes.
- Providing support to the IT Manager in relation to administrative tasks such as; accepting deliveries at HQ, shipping hardware to incoming employees and processing postage with direction from the team.
- Assist with the logistics falling out of the IT support function and be the right hand on-site person for troubleshooting, with the IT Managers direction.
- Other short term project work or admin duties as required across HR, Finance and IT operations including but not limited to services such as; data input, assistance with expenses, market research.
- Contribute to both team and wider business projects and opportunities, providing valuable insight for operational effectiveness.
- Assist with maintenance of electronic file records, ensuring documentation and processes are up to date.
- An element of this role is also to embody the hybrid culture and assist the Chief of Staff in ensuring that the Cloudsmith HQ space is welcoming, positive and productive.
Who Should Apply / What skills & Experience you need
- Highly organised and pro-active with strong time management.
- Familiarity with working in a hybrid asynchronous environment and thrive in it.
- Self-motivated and enthusiastic with strong communication skills.
- Strong IT skills across Google and Microsoft + confidence working on Mac device.
- Emphasis on attention to detail and accuracy.
- A flexible and positive approach with regard to multitasking.
- Extremely versatile, dedicated to efficient productivity. Someone prepared to take on important tasks and responsibilities, or running an errand to the bank or post office if needs be.
- Eagerness to learn and be unafraid to admit what you don’t know - the only stupid question is the one that isn't asked. We don't expect you to always know, just to always be willing to learn!
- Discreet & Trustworthy.
- You must be based in Northern Ireland, with access to transport to a Belfast city centre office address, and have the right to work independently without requiring sponsorship.

On a day-to-day basis, most Cloudsmithers work remotely, so we really rely on our online collaboration tools!
