Workplace & Culture: You’ll be one of the first friendly faces new team members and guests meet. For new Cloudsmithers you’ll create a warm, inclusive onboarding experience and make sure they have everything they need to hit the ground running. You’ll be the lead for the go-to-function for all-company support, questions, and practical problem-solving.
BizOps: You’ll manage a small operational team and partner closely with HR on onboarding and offboarding logistics, collaborate with internal teams and external partners, be responsible for coordinating and executing company events, and understand how the wider operations function connects—so you can support it from a technical, logistical, and operational perspective.

The Role
We are seeking a highly capable, solutions-oriented Workplace Manager to lead day-to-day business operations at HQ while serving as a trusted operational partner to the Cloudsmith leadership team, including the Head of HR, the CFO, and the CEO.
This role reflects a hands-on, site-based leadership opportunity focused on operational excellence, workplace experience, and culture. Reporting to the Head of HR, the Workplace Manager will oversee business operations, manage two support staff and support the Office of the CEO. The role naturally works closely with the senior leaders of HR and Finance to improve efficiencies across the organisation.
This is a dynamic role for someone who thrives on variety, enjoys problem-solving, and can confidently move between operational, administrative, and cultural leadership responsibilities.
You’ll form part of a wider business operations team (including Finance and HR) to provide support to all Cloudsmithers, whether they are working on site or remotely. Sharing responsibilities to support a world-class software company with world-class business operations.
Note: You must have the right to work without sponsorship and reside in Northern Ireland within an easily commutable distance to our Belfast City Centre HQ.

Key Responsibilities
Operational Leadership
Provide oversight of the day-to-day running of HQ, ensuring the workplace remains safe, welcoming, and set up for productivity, with operational delivery led by the Operations Support Coordinator.
Acting as the central operational hub for the office and the company.
Manage all Belfast-based vendor relationships, office supplies, and equipment.
Oversee facilities, health & safety compliance, and building management in partnership with our co-working partners.
Oversee onboarding logistics to ensure a smooth and welcoming experience for new joiners, with execution delivered through the wider Operations team.
Proactively identify opportunities to improve processes, workflows, and the overall workplace experience. Remove friction from workflows and proactively resolve issues. You’re biased toward action: You don’t wait for perfect instructions. You figure out what “good” looks like, propose a plan, and execute alongside operations colleagues.
Own office layout planning and optimisation, ensuring our space evolves effectively as teams scale, including seating plans, neighbourhoods, meeting-room configurations, and space forecasting as teams continue to scale.
Act as program manager for daily business operations and be a leverage-seeker: You don’t just think about how to “do the task”. You ask how we can do it in half the time next week, and automate it the week after.
Provide direction and prioritisation for operational activity, empowering the Operations team to deliver effectively while ensuring alignment with business need.
Act as the operational lead for workplace programmes and improvements, focusing on scalability, efficiency and long-term effectiveness rather than day-to-day task delivery.
Clearly communicate and keep people aligned with crisp updates, good docs, and the right level of context.
Line Management
Directly manage and develop two support staff.
Conduct regular team syncs, 1:1s and performance reviews.
Prioritise workloads and ensure high service standards.
Foster a positive, collaborative and high-performing team environment.
Office of the CEO Support
Support preparation for executive-level meetings and cross-functional coordination (Board of Directors, customers, vendors, cross-department workshops).
Serve as a visible leader of the Cloudsmith operations team, with a finger on the pulse of the company.
HR & Finance Partnership
Work closely with HR on engagement, culture, and workforce initiatives.
Collaborate with Finance to monitor operational spend and identify cost efficiencies.
Support budgeting for workplace initiatives and events.
Contribute to workforce and operational planning discussions.
Events
Provide overall ownership and strategic oversight of company-wide events and experiences end-to-end, working with external vendors to deliver them. This includes, but is not limited to, regular departmental in-person workshops and two annual all-employee events on location in Belfast.
Ensuring all events are well-executed, cost-effective, aligned with company culture and objectives, and delivered by the wider Operations team.
Plan and deliver company and team events, socials, and initiatives that connect and energise our workforce. Departments will actively plan to come together in person to strategise or work on projects.
Continuously evaluate and improve the impact and efficiency of events and experiences, identifying opportunities to scale, streamline, and enhance outcomes over time.
Workplace Experience & Culture
Serve as a Culture Champion across the entire organisation, leading by example and consistently embodying the Tao of Cloudsmith in everything you do.
Maintain a welcoming, positive, and supportive office environment.
Work closely with HR on culture initiatives, considering all aspects of any changes.
Lead internal engagement initiatives and events - this includes departmental hackathons, workshops, get-togethers.
Manage company swag inventory and distribution. You’ll work with the Brand team to identify items and create approved designs for staff and events materials based on the longevity of the company brand.
Act as the friendly face of HQ for employees and visitors.
(Optional) Social media: be willing to curate posts and create content on your own profile that shines a light on the company in a positive light.

What We’re Looking For
Experience
3+ years’ proven experience in workplace management, office operations, or employee experience.
Experience of startup life, ideally in a tech or high-growth environment.
Experience managing people.
Experience supporting senior leaders or executive teams.
Exposure to HR and/or Finance collaboration is advantageous.

Working With Others
This role is very much one that straddles other teams and departments, when working at Cloudsmith, you will:
Form part of a wider Operations team, working closely with HR, Finance, IT Operations.
Lead a team of two; Operations Coordinator and Technician.
Have access to and should be interested in understanding other departments like Engineering, Product, and Customer Success.
Collaborate with IT Ops for seamless onboarding of new Cloudsmithers.
Work closely with external vendors for company events and HQ.
Use shared team channels on Slack to triage and route requests (e.g., “Ask Ops”).
You’ll be front-line support to a 150+ strong workforce with varying levels of asks or needs; you’ll need to be patient, friendly, approachable, methodical, and communicative.
